About the Role
- Assist with the administration of corporate and Heritage Collections, including cataloguing, retrieving and sentencing records in line with Information & Records Management Team procedures and Public Record Office Victoria (PROV) requirements.
- Independently complete records’ access requests (internal) in a timely manner.
- Scan documents for upload into corporate systems, ensuring image quality meets standards set by PROV.
- Classify and accurately register scanned documents and electronic correspondence into appropriate systems.
- Contribute to the programme of authorised disposal of physical records.
- Work collaboratively with archival staff to deliver services in accordance with the Archival Management Policy and PROV Standards and Specifications.
- Support the development of archival processes and policy by contributing to process mapping and documentation as directed by the Team Leader and senior staff.
- Perform administrative tasks to support the efficient operation of the Electronic Document and Records Management System (EDRMS).
- Respond to internal enquiries, maintain statistical databases, and prepare records for storage to ensure seamless archival operations.
- Assist with general team duties including but not limited to the processing of daily mail and supporting information management workflows in line with service level agreements.
About You
The ideal candidate will have:
- Demonstrated experience in archival administration or within a broader records and information management environment.
- A sound understanding of Public Record Office Victoria (PROV) Standards and experience applying them to the management of archival records.
- The ability to work effectively in a high-volume environment while maintaining strong attention to detail and accuracy.
- Proficiency in using Electronic Document and Records Management Systems (EDRMS), preferably TechnologyOne ECM or Objective.
- Experience working in local government or similarly complex organisations (desirable).
