Our client, a well-established surgical specialist practice is seeking an experienced Senior Medical Receptionist/Secretary to join their dedicated team. Renowned for delivering first-class, modern and comprehensive gynaecological care, the practice specialises in minimally invasive procedures including laparoscopic (keyhole) and robotic surgery. This is a rare opportunity to secure a permanent role, your potential "forever job" within a growing practice that values long-term team members, with some staff having been part of the team for over 20 years, this is a supportive and stable environment for the right candidate to thrive.

The position will offer the right candidate, permanent full-time employment working 38 hours per week (Monday to Friday). Candidates interested in a 4-day work week are also encouraged to apply, as this option will be seriously considered for the right candidate.

Ideally, you will bring experience from a surgical specialist practice, with a solid background in managing patient clinics, processing patient billing and receipting, preparing theatre quotes, and coordinating theatre bookings. Above all, you will demonstrate empathy, excellent interpersonal skills and the ability to build a strong rapport with patients. You will thrive in a team-oriented environment, working alongside another Senior Part Time Medical Secretary, Practice Manager and 3 Surgeons.

Key duties and responsibilities will include (but not be limited to):

Managing the reception area and practice phone, serving as the first point of contact for patients, referring doctors, and hospital staff.

Having a working knowledge of medical software platforms such as Shexie and/or Genie

Preparing and running patient clinics, taking initial enquiries and managing the day to day phone calls and email correspondence

Managing the daily schedules for 3 Surgeons, booking appointments, handling procedure admissions, and liaising with theatre staff and anaesthetists.

Regularly communicating with the 3 Surgeons to resolve clinical and administrative queries.

Managing patient’s preoperative and post operative care including consultation billing, preparing surgery quotes, surgery lists, scanning documents, and addressing email inquiries relating to surgical procedures

Providing any ad-hoc administrative support to the Practice Manager as required

To be successful in this position, you will have the following attributes:

Previous experience as a Medical Receptionist or Medical Secretary within a private surgical specialist practice preferred

Excellent time management and organisational skills to be able to co-ordinate all aspects of running a busy surgical specialist practice

A high level of communication and interpersonal skills to be able to interact with all levels of people

Ability to quickly acquire new work processes in an expanding computerised environment

A positive ‘can-do’ attitude to all tasks

Ability to work independently and with minimal supervision

Accurate and fast data entry skills and high-level attention to detail

Remuneration:

The hourly rate for this role ranges from $38 to $43 p/hour + superannuation depending on your experience.
