We are looking for a Client Services Administrator with experience in an Accounting & Public Practice office to join our rapidly growing firm located in the heart of Leederville.

The Role
As a Client Services Administrator at Oakstone Advisory, you will be joining our brilliant Administration and Operations Team and play a pivotal role in maintaining client relationships. Your main responsibilities will include:
General & Client Services
Screen Director’s calls and attend to client needs where possible
Booking of client and personal appointments
Professional and prompt completion of general correspondence
To be 100% service orientated to Director and his clients
Preparation of client engagement letters
Preparation & setup of new jobs for clients’ annual compliance
Collation of client tax packages including financial statements & taxation returns
ATO portal and Xero database maintenance including new clients, lost clients, referrals database, change of address & billing
ATO phone calls to provide information or amend details
Distribute & process outgoing mail
Organisation of couriers as required
End of month invoicing process
Processing client lodgements, notice of assessments and activity statements
Scanning & electronic filing of client information & correspondence
Professional and prompt completion of general correspondence and word processing
Welcoming clients to our office, offering refreshments, boardroom setup & presentation
Assist other staff with the office intercom & answering phones, directing calls & taking messages
Corporate
Preparation of annual ASIC Company Statements, letters, and invoices
Set up of New Companies, liaise with ASIC
Set up of New Trusts, liaise with Lawyer
ATO applications for TFN / ABN, GST & PAYG Registrations
Preparation of ASIC Forms
Maintenance of Corporate Volumes including electronic/paper filing
Our ideal candidate will have the following attributes
Previous experience as a CSA or Personal Assistant in the accounting industry
High attention to detail and the ability to prioritise tasks with strong time management skills
Reliable, hands-on and energetic about your role
Highly proficient in MS Office programs (Word, Excel & Outlook)
Experience using accounting systems (Xero Practice Manager & Xero Tax)
Social and outgoing nature who has a team player values
