Are you a people person with excellent organisational skills? Do you thrive in a dynamic environment where no two days are the same? Smokeshield Security is looking for a Receptionist/Office Manager to be the friendly face and efficient force behind our office operations.

The Receptionist/Office Manager is responsible for managing inbound calls, directing clients to the appropriate departments and handling basic enquiries. As the first point of contact, you will provide excellent customer service and maintain a professional front desk. A minor part of the role will include contacting customers.

The role must also ensure the efficient operation of Smokeshield’s office environment and administrative functions. This role involves overseeing daily office activities, managing administrative tasks, and providing critical support to internal departments to enhance productivity and streamline processes.

What You’ll Be Doing

Be the First Point of Contact – Answer inbound calls professionally, assist clients with enquiries, and direct them to the right department.

Welcome Visitors with a Smile – Create a warm and professional experience for all guests.

Keep Things Running Smoothly – Support management and staff with administrative tasks to keep the business moving.

Stay Connected – Follow up with customers to ensure they’re looked after.

Oversee Office & Fleet Management – Keep our office environment organised and our company vehicles in check.

Build Great Supplier Relationships – Maintain smooth operations by managing supplier interactions.

Keep Our Systems Updated – Ensure accuracy in our CRM and office records.

What You’ll Bring to the Team

Strong Communication Skills – Clear, professional verbal and written communication for handling calls, emails, and in-person interactions.

Exceptional Customer Service – Friendly, approachable, and always ready to assist.

Excellent Phone Etiquette – Confidently manage multiple calls, transfer efficiently, and take accurate messages.

Great Time Management – Prioritise tasks effectively while handling interruptions.

Superb Organisation – Keep records, supplies, and office documents well-maintained.

Problem-Solving Abilities – Proactively address minor office issues or scheduling conflicts.

Keen Attention to Detail – Ensure accuracy in messages, documents, and office coordination.

Multitasking Skills – Balance reception duties and administrative tasks without losing efficiency.

Professional Confidentiality – Handle sensitive information with discretion and professionalism.

Technology Proficiency – Comfortable using office software, CRM systems, and general technology (e.g., Microsoft Office, Google Suite, phone systems, scheduling tools, CRM (KEAP/SIMPRO).
