The Office Manager / Accounts plays a crucial role in ensuring the smooth operation of the office environment while overseeing financial activities and maintaining financial health. This position requires strong organisational, communication, and financial management skills to effectively coordinate office operations and financial processes.

Accounts - Virtue Projects

Process BAS / IAS / Superannuation / Long Service Leave Compliance work

Review and maintain records for business insurances and calculate annual Workers Compensation and Contracts Building Insurances for Director to approve before submission and submit online.

Process Workers Compensation & Contract works insurance claims, payments & documentation

Reconciliation of all bank accounts and financial management in Xero

Responsible for Accounts payable, accounts receivable

Process Weekly aba files, upload into NAB and email to Director for approval

Monthly P&L reporting for company - email to Dave (identify out of ordinary costs)

Oversee payroll processing and ensure compliance with relevant laws and regulations.

Setting up of new employees in BT and Xero,

Process leave entitlements and wages

Coordinate with external stakeholders such as auditors, tax consultants, and financial institutions.

Review with Director Budget Forecast spreadsheet for internal budgeting costs for the company

Regular financial meetings with Director to review P & L, Insurance, Liabilities & High risk areas/items

Accounts - Projects

Review & update retention list & cost lists are correctly allocated

Enter PO & Invoices into Buildertrend when required

Attend Monthly budget meetings on individual projects

Review, process & compile client invoice and documents for invoicing monthly claim

Office Operations

Setting up new jobs in BT

Checking office/accounts and direct emails and replying and actioning required items

Oversee company function events / organisation

Human Resources Support

Assisting with the human resources functions such as recruitment & onboarding.

Employee records management
