Executive Assistant to the Director General

Position Overview
We are seeking a highly organised and proactive Executive Assistant (EA) to support AEMG’s Director General.

The Executive Assistant to Director General is responsible for ensuring effective administration processes are conducted for the Director General ensuring effective operations and enhancing organisational efficiency. The role proactively actions coordination of procedures such as meeting coordination, travel arrangements, project management, event arrangements and monitoring etc., as well as drafting communications on behalf of the Director General, while ensuring the timely completion of all allocated tasks.

Key Responsibilities

Executive Support: Provide comprehensive administrative support, including scheduling, correspondence management, and travel logistics.

Meeting Coordination: Organise and prepare agendas, materials, and minutes for executive meetings, ensuring productive discussions with partners and stakeholders.

Document Preparation: Create, translate, and format documents and presentations in both Chinese and English.

Calendar Management: Oversee complex calendar management to optimise the VP’s schedule.

Team Collaboration: Work closely with other executive assistants to promote seamless operations.

Additional Responsibilities

Coordinate domestic and international travel logistics, handling any last-minute changes.

Act as a gatekeeper for communications, prioritising emails, calls and meetings.

Prepare meeting agendas and documents and take detailed notes with action items during meetings.

Support special projects, ensuring timelines and deliverables are met.

Build and maintain relationships with stakeholders and clients.

Qualifications and Experience

Bachelor’s degree in Business, Accounting, International Relations, Education, or a related field,

Master's degree highly desirable.

Bilingual Proficiency: Fluency in English and Chinese (Mandarin) / Malay with strong communication skills - highly desirable.

Minimum 5+ years in EA, partner relations, business development or project management.

Strong organisational skills and attention to detail.

Excellent interpersonal skills and cultural awareness of Chinese and Western business systems.

Proficient in Microsoft Office (Word, Excel, PowerPoint) and other productivity tools.

Location
This role is based in our Surrey Hills office.
