Job Summary:
We are looking for a reliable and experienced Office Administrator to handle a wide range of administrative and financial tasks. This position is well-suited to a mature individual with prior office experience, who thrives in a structured environment and has a strong attention to detail.
The successful candidate will be responsible for reception duties, managing emails, handling accounts payable and receivable, reconciling in Xero, banking, processing credit applications and PPSR registrations.
Key Responsibilities:
Reception & Communication:
Greet visitors and manage incoming phone calls with professionalism.
Monitor and respond to emails in a timely and efficient manner.
Accounts Payable & Receivable:
Process supplier invoices, payments, and staff reimbursements.
Issue customer invoices and follow up on outstanding accounts; ensuring timely payments and collections.
Maintain accurate records.
Xero Reconciliation:
Reconcile bank transactions and accounts in Xero.
Assist with month-end reporting and preparation of financial data.
Banking:
Handle daily banking, including deposits and bank reconciliations.
Credit Applications & PPSR:
Manage credit application process for customers
Register and update entries on the Personal Property Securities Register (PPSR).
General Administration:
Maintain and organise office filing systems (digital and paper-based).
Order and manage office supplies and ensure the workspace is tidy and efficient.
Key Skills & Experience:
Prior office administration experience is essential (minimum 2–3 years preferred).
Strong skills in Xero and Microsoft Office (Excel, Outlook, Word).
Experience in accounts payable/receivable and general bookkeeping.
Familiarity with credit procedures and PPSR registrations is an advantage.
Excellent communication, organisational, and multitasking skills.
Professional, reliable and able to work both independently and in a team environment.
