Position: Administration Officer

Reports to: Office Manager
Location: Ellenbrook
Hours: Monday to Friday, 8:00 AM – 4:00 PM
Casual position with the potential to transition to full-time for the right candidate.
Swan Garage Doors is seeking a detail-oriented and proactive Administration Officer to join our dynamic team. In this role, you'll play a key part in supporting daily operations and ensuring an excellent experience for our customers and technicians. From booking jobs to managing door orders and warranty claims, your contribution will help keep everything running smoothly behind the scenes.

Key Responsibilities:
Communication & Customer Interaction
Monitor mobile phones, emails, Facebook, and ServiceM8 for messages.
Answer incoming calls and book jobs efficiently.
Respond to online enquiries and follow up as needed.
Job Scheduling & Technician Coordination
Create and manage daily technician schedules, ensuring efficient use of time and resources.
Coordinate urgent/same-day jobs with technicians and customers.
Liaise with technicians and suppliers to ensure job requirements are met.
Warranty Management
Track warranty attendance due.
Issue warranty letters to customers.
Job Management System (ServiceM8)
Enter and manage job details in ServiceM8.
Stay on top of notifications and emails to ensure prompt action.
Real Estate & Work Orders
Process real estate work orders and coordinate with tenants.
Garage Door Orders
Liaise with customers to confirm door specs, updates, and scheduling.
Collaborate with internal teams to fulfil door-related work.
Social Media
Update and manage company Facebook posts to engage our audience.
Reporting & Documentation
Review call logs and complete reporting requirements.
General Admin Support
Assist the Office Manager and admin team with various tasks.
Help maintain an efficient, professional office environment.
Qualifications:
Previous experience in a similar role.
Excellent communication and customer service skills.
Strong organizational and multitasking skills.
Proficient in using ServiceM8 or similar job management software.
About You
We’re looking for someone who is organised, customer-focused, and ready to hit the ground running. Ideally, you’ll have:
Previous experience in a similar administrative or customer service role.
Strong written and verbal communication skills.
Excellent multitasking and time management abilities.
Proficiency in ServiceM8 or similar job management software (preferred).
A proactive attitude and ability to work well in a team environment.
