Herstellen Clinic is an established and privately-owned specialist Plastic and Reconstructive Surgery and Medical Aesthetic Clinic based in Spring Hill, Brisbane. Our growing team consists of our Director and industry leading Plastic and Reconstructive Surgeon, Dr Justin Perron, Clinic Manager, Patient Care Coordinator, 3 Practice Nurses, Dermal Therapist, Marketing Coordinator, Cosmetic Injector, Lymphoedema Practitioners, Exercise Physiologist, Nurse Injector & Cosmetic Tattooist!

We are looking to expand further with the implementation of a Medical Administrator and Patient Concierge to play an integral part in our patient's surgical journeys!

This position is suited to someone who genuinely cares for and enjoys helping people, thrives in a busy environment and has the ability to juggle multiple tasks, all while maintaining the highest level of professionalism and 5 start customer service.

We are seeking an individual with 1-2 years experience in a similar role to join our team on a Full-Time Basis.

This role will be the very first friendly face that all patients see when arriving at our clinic. Working collaboratively with our entire team and especially closely with our Patient Care Coordinator, this staff member will be responsible for an array of tasks including managing the scheduling and flow of our consulting clinics, Surgical Bookings & Patient Estimates!

Key Responsibilities:

First and foremost, providing an exceptional and professional experience for all patients and visitors to the clinic.

Preparing the clinic on consulting days including setting up the waiting room and treatment areas.

Schedule management.

Liaising with patients in a timely, polite and consistent manner to ensure practice confirmations, appointment changes and re-scheduling.

Processing patient documents, consents and paperwork in a timely manner, along with checking patients in and out of the clinic.

Providing Estimates for surgical procedures and booking complex surgeries.

Monitor Superannuation applications

Telephone correspondence with patients & general inquiries

An in depth understanding of all clinic offerings for new and existing patients.

Maintaining accurate patient records with the highest level of privacy and confidentiality.

The ideal candidate will have a warm nature, friendly and caring manner, accompanied by a confident and proactive attitude!

What are we looking for?

The ideal candidate to join our team will have:

1-2 years of previous medical administration experience: Pay rate will reflect experience.

Strong computer literacy and the ability to quickly learn new software packages.

Flexibility to work during clinic hours - between 8am - 5pm Monday to Friday + occasional Saturdays in future if required (1x Saturday every 2-3 months)

A proactive approach and commitment to superior customer service.

A true desire to be part of, and contribute to, a supportive, productive and reliable team environment!

A resilient work ethic, demonstrating initiative and adaptability within a fast-paced environment.

Strong communication and interpersonal skills, displaying a professional, warm, compassionate, friendly and respectful manner towards patients, practice staff and medical professionals.

Excellent organisational, problem solving and time management skills.

A desire to work within the Plastic and Reconstructive surgery industry and Medical Aesthetic field.
