The Reception and Admissions Officer is responsible for delivering high-quality front-of-house and administrative support to ensure the efficient operation of the facility. This role serves as the first point of contact for residents, families, staff, and visitors, providing courteous and responsive reception services while managing incoming enquiries, bookings, and general office duties. The role also plays a key part in the resident admissions and discharge process, maintaining accurate records and ensuring a seamless experience for new and prospective residents. Additionally, the position supports broader administrative functions, including but not limited to document management and coordination of tours and meetings.
Key Responsibilities
Reception Duties
Greet and assist residents, visitors, staff, and other stakeholders professionally and courteously
Answer and direct phone calls and messages promptly
Oversee the sign-in process for all visitors, staff, and service providers
General Administration
Handle facility enquiries and direct them to appropriate staff
Perform general office tasks: filing, mail distribution, data entry, and supply ordering
Provide administrative support to the management team
Admissions and Discharges
Support new resident enquiries, admissions, transfers, and discharges
Coordinate facility tours and meetings for prospective residents and families
Skills and Experience
Strong communication and customer service skills
Excellent organisational and multitasking abilities
Experience in an administrative or reception role (aged care experience preferred)
Ability to handle sensitive information with discretion
