The Opportunity
Due to our continued growth, we are seeking a proactive and detail-oriented Accounts and Finance Officer to join our finance team on a part-time basis (0.5FTE / 19 hours per week). This role offers flexibility, with the ability to work remotely for most of the week (if desired), and 2-days per week at our Shoreham location. While the position is a 12-month fixed-term contract, there is potential for greater hours or transition to a permanent role based on business needs and performance.
Key Responsibilities
Accounts Receivable & Credit Control
Generate and issue customer invoices (daily to biweekly).
Record and reconcile customer payments in Xero (biweekly).
Follow up with customers via email or phone to ensure timely payments (weekly).
Address customer inquiries related to invoices and payments as needed.
Accounts Payable
Collect and organise supplier invoices via email or Xero's automated bill capture (daily to biweekly).
Verify invoice accuracy and obtain necessary approvals from relevant managers or departments (daily to biweekly).
Enter bills into Hubdoc/Xero, ensuring correct categorisation (daily to biweekly).
Resolve discrepancies with suppliers promptly.
Process payments through bank transfers (including batch payments), credit cards, and online payment gateways (weekly).
Record payment details and update bill statuses to 'paid' (biweekly to weekly).
Regularly reconcile accounts payable with bank statements to ensure accuracy (biweekly to weekly).
Generate financial reports to provide insights into cash flow and liabilities as required.
General Finance Support
Continuously review the accuracy of financial transaction information.
Assist with month-end journals and bank reconciliations.
Provide support for payroll processing when necessary.
Liaise with the company bookkeeper as required.
Essential Skills & Experience
Proven experience with Xero and Hubdoc accounting software.
Demonstrated experience in accounts payable, accounts receivable, and bank reconciliations.
Ability to follow directions and work autonomously once tasks are established.
Excellent interpersonal and communication skills.
Self-motivated with a commitment to process improvement.
Desirable Skills
Experience in broader bookkeeping tasks, such as posting journal entries and generating financial reports (formal bookkeeping qualifications not required).
Ability to analyse data to identify efficiencies, cost controls, and improved business practices.
Salary & Benefits
Hourly rate of $35–$40, commensurate with experience.
Superannuation and leave entitlements included.
Option to casualise the hourly rate if preferred by the successful candidate.
