This position is part of a team in Venue Bookings, Events & Office Administration and is the Personal Assistant to the Director/s.
The role is within a small business that specialises in hospitality & recreation venues, audio-visual production services, residential and commercial property development in Toowoomba.
Commencement of Position - Immediate.
General work hours will be Monday to Friday between 8.00am and 6.00pm. At times, there is nights and weekend work, when major events & functions are scheduled. This position is Casual employment 20-25 hours per week across 52 weeks per year.
A Driver's license and own vehicle is required for this position.
The position requires the following attributes:
1. Organizational Skills
Diary & Calendar Management: Scheduling meetings, appointments, and reminders.
File & Document Management: Creating, organizing, and maintaining both digital and physical records.
Inbox Management: Prioritising and responding to emails on behalf of Director as required.
Meeting & Event Planning : Organising agendas, minutes, and follow-ups, developing schedules and To Do lists.
2. Communication Skills
Written Communication: Drafting emails, reports, and letters with proper tone and grammar.
Verbal Communication: Clear and professional interaction with internal and external stakeholders.
Customer Service Orientation: Dealing with clients, vendors, and guests courteously.
3. Administrative Proficiency & IT Skills
Data Entry & Database Management: Accurate input and upkeep of records, contacts & admin systems.
Office Supply Management: Ordering supplies and managing inventory as required
Filing System : managing and progressing as required.
Microsoft Office Suite / Smartdraw : Especially Outlook, Word, Excel, PowerPoint, To Do
4. Time & Task Management
Multitasking: Handling multiple responsibilities efficiently.
Prioritization: Knowing what needs to be done first and balancing urgent vs. important tasks. Self-driven !
Deadline Management: Ensuring tasks are completed on or ahead of schedule.
5. Discretion & Confidentiality
Handling sensitive documents and conversations with the utmost privacy.
Handling unexpected problems quickly and effectively.
