Northside's largest orthopaedic practice, based in Chermside, our practice has been established for over 25 years and is comprised of 10 orthopaedic surgeons, a team of hand therapists, physiotherapists, clinical nurses, and podiatrist.

About the role:
We are currently seeking a highly organized, proactive experienced Practice Manager to co-ordinate daily operations of our busy practice and ensure smooth, efficient, and compliant functioning.
The Practice Manager role is part of a team of management responsible for all business aspects of the practice.
Previous experience of managing a large medical specialist practice is essential, experience in Orthopaedics practice management is an advantage.
In this position you would be is responsible for overseeing the day-to-day operations of the practice to ensure high quality customer service is maintained as well as positive culture in the workplace for our staff. Your day would also be working closely with a management team to cover HR, Theatre billing, Medicolegal, IT management, Marketing and other office maintenance responsibilities.
The successful applicant needs to be able to manage the practice independently but also work within a management team to achieve success across all aspects of the practice as a whole.
Experience and understanding of computer programs such as Word, Excel, Outlook and a medical program such as STAT or Genie is essential, as well as an advanced understanding of the Medicare and Health fund system is required.
Key Responsibilities:
Management of day-to-day administrative operations
Staff rostering for all staff, managing leave and changes to rosters to cover clinics
Maintenance of room allocation for doctors and allied health
Maintenance of standards in the practice
Overseeing staff management of doctors’ consulting sessions and theatre
Overseeing staff management of all incoming and outgoing correspondence
Oversee and liaise with administrative staff regarding management of daily tasks
Oversee and manage offsite work from home typing pool
Liaise with doctors, financial controller, other office managers regarding issues that are relevant to their positions
Manage and assist staff with workload allocation when required
Management of patient complaint responses for staff and doctors
HR
Overseeing all staff management
Production and supervision of job descriptions for each staff member
Scheduling and conducting performance reviews
Maintaining positive culture in the workplace
Ongoing staff training with changing/evolving policy and procedures
Recruitment when required
Medicolegal
Overseeing Medicolegal team to assist with management of requests, production of reports, proofing, quoting and invoicing of requested reports
Theatre Billing
Assist secretarial staff with theatre quoting
Management of theatre billing for doctors and surgical assistants when required
IT
General day to day operation of the Practice computer system, including liaising with external IT manager.
IT planning with external IT manager when required
Liaise with external Dictation manager when required for maintenance and issues
Manage issues with online radiology viewing - when required
Liaise with phone system provider with issues and upgrades when required
Ongoing management of Teams/ Website/ Email subscriptions
Marketing
Management of practice marketing – Website, GP engagement.
Office maintenance within the management team
Liaising with Graphic Designers and printers for all company branded needs.
Assist with the organisation of all social functions when required
Assist with management of overall practice allocation of schedules
Assist with management of allied health providers
Other general running when required
Assist with management of Fellowships
Assist with applications of agreements with external parties eg. Workcover tenders, Lease agreements.
Manage yearly medical students to the practice
Assist with management of building issues
Liaise with hospitals management when required
Experiences and Attributes
Minimum of 3 years of experience in a medical leadership role in a large health care setting.
Strong leadership, communication, and organizational skills
Proficient in medical software programs and general IT management knowledge
Excellent knowledge of healthcare regulations, medical billing, and practice operations
Strong problem-solving skills
Excellent written and oral communication skills
Professional presentation
Ability to multitask and remain calm under pressure in a fast paced environment
Willing to work as part of a team at every level.
