About the Role:

As our Practice Manager, you will lead the smooth running of both our medical and allied health services. You’ll be responsible for overseeing bookings, payments, client communication, and workflow processes—ensuring everything runs like clockwork so our clinical team can focus on what they do best: helping children thrive.

Key responsibilities include:

Managing all medical and allied health operations, including client bookings, billing, payments, and compliance.

Using Gentu and Splose practice management software to ensure seamless administration and reporting.

Supervising and coordinating a small but high-performing administration team, providing mentorship, training, and support.

Overseeing and coordinating Paediatrician appointments, including referrals, medical correspondence, and Medicare compliance.

Proactively managing clinician calendars, supporting forward planning and capacity optimisation.

Supporting the delivery of Allied Health services by facilitating clear communication and scheduling, enabling clinicians to focus on clinical care.

Overseeing the administration of our Autism Diagnostic Clinic in collaboration with the Allied Health Lead.

Championing exceptional customer service, ensuring every child and family feels welcomed, heard, and supported.

Developing and streamlining administrative systems and workflows to increase efficiency, collaboration, and team cohesion.

Responding to client concerns with empathy and professionalism and supporting smooth conflict resolution where needed.

Contributing to the growth and development of the practice through strategic planning and continuous improvement initiatives.

What We’re Looking For:

Proven experience in Practice Management within medical, allied health or paediatric settings.

Strong leadership skills with the ability to support and empower team members.

Solid working knowledge of Gentu and Splose (or similar practice management systems).

Exceptional communication and interpersonal skills with a client-first mindset.

Highly organised, solution-focused, and confident managing multiple priorities.

Empathy, warmth, and the ability to work with families navigating developmental and health challenges.

Ability to problem-solve and improve systems with a proactive, can-do attitude.

Understanding of Medicare billing, referral pathways, and healthcare compliance requirements (desirable but not essential).
