Practice Manager
Weekly Hours: 24 -38 hours weekly, part-time, full-time, and casual options.
Millstream Paediatrics is a dynamic and busy clinic with a close-knit team comprising a paediatrician, occupational therapist, speech pathologists, and psychologists. The clinic culture is warm, inclusive, and friendly. Located in Applecross, around the train line and public transport, as well as shops.
We are an expanding practice and are seeking a talented practice manager to support the effective day-to-day operations of the clinic. This is a crucial leadership role, requiring a talented individual who is consistently motivated, professional, competent and leads by example to bring out the best in others. Flexible hours are a possibility for the right candidate.
In your role as practice manager, you will ‘sweat the small stuff’ so the big stuff takes care of itself.
Key Responsibilities:
You will oversee the day-to-day running of the clinic, ensure compliance, have administration-level access to the practice management software and organise settings and integration-level processes.
You will oversee all aspects of customer service, including reception duties and management, referrals and intake, clinician allocations, scheduling, client payments and stakeholder correspondence.
You will manage reception staff recruitment, rostering, provide mentorship, training and support.
Lead and conduct regular performance reviews, managing performance-related issues in a professional and sensitive manner.
You will manage all aspects of administration for assessments, including liaising with stakeholders and managing related resources.
You will manage invoicing for contractors and staff payroll. Xero is desired but not essential.
You will oversee accreditation processes, policies and documentation.
About You:
You have proven experience as a senior receptionist or practice manager in a similar healthcare role.
You are IT proficient in medical practice management software (PracSuite) and other relevant IT systems, including Microsoft Suite and SharePoint, and can effectively us Mac software.
You have a solid knowledge of Medicare billing, practice accreditation, and healthcare compliance.
You cultivate a positive team culture, maintain strong professional boundaries, and lead by example.
You will maintain client, staff and company confidential information at all times without exception.
You have excellent organisational and multi-tasking skills, with the ability to prioritise and manage competing demands.
You are motivated, have attention to detail and ‘sweat the small stuff’ to avoid significant issues from arising.
You have outstanding communication and interpersonal skills, with the ability to effectively liaise with diverse stakeholders.
You are committed to continuous internal improvements and a willingness to implement streamlined and innovative solutions.
Bookkeeping (Xero) experience is desired but not a requirement.
Will report directly to the Clinic Director.
