We are currently seeking an experienced administrative coordinator who is proactive, knowledgeable, and can take initiative without constant supervision. What you'll be doing

Handling a wide range of administrative and clerical tasks including data entry, filing, scheduling, and responding to inquiries

Providing exceptional customer service to internal and external stakeholders

Assisting with the coordination of meetings, events, and travel arrangements

Maintaining and updating records, databases, and other administrative systems

Supporting the team with ad-hoc projects and other duties as required

Key Responsibilities

Manage day-to-day administrative operations related to participant care and service delivery.

Ensure full compliance with NDIS rules, regulations, and quality and safeguarding standards.

Implement and maintain internal policies and procedures in line with NDIS requirements.

Report incident report and handle restrictive practice reporting & meetings through the NDIS Commission portal.

Use and manage PRODA and NDIS-related platforms to support service delivery and compliance.

Coordinate participant schedules, services, supports, and respond promptly to any participant needs.

Oversee and support the delivery of daily living support services for participants.

Build and maintain positive relationships with participants, families, support coordinators, and external stakeholders.

Take initiative in attracting and onboarding new clients, promoting the organisation’s services in the community.

Maintain accurate and up-to-date records, case notes, and reporting.

Identify areas for service improvement and implement changes as needed.

Provide leadership and support to junior staff and carers when required.

What we're looking for

Minimum 2–3 years of experience in the NDIS sector

Strong knowledge of:

NDIS compliance, rules, and policies

PRODA platform

NDIS Commission incident reporting and reporting restrictive practices

Proven ability to work independently and take full ownership of responsibilities.

Demonstrated experience in managing participant care and onboarding new clients.

Excellent communication and interpersonal skills with the ability to liaise effectively with a range of stakeholders

Familiarity with case management and reporting software

Current Police Check, NDIS Worker Screening Check, and Working With Children Check.

Strong organisational and time management skills with the ability to prioritise tasks and work to deadlines

Proficient in using Microsoft Office suite, including Word, Excel, and Outlook

Attention to detail and a commitment to providing high-quality work

A friendly, professional, and proactive attitude

Valid Driver’s Licence and reliable vehicle.
