THE ROLE

The Administration Co-ordinator role will report to the Executive Assistant/Finance Officer and will be an integral part of the Administration support for the Development and Building Team who are primarily based in Grafton, NSW. Key tasks will include:

Serving as a client advocate and maintaining a high standard of client relationship management.

Ensuring accurate data entry and confidentiality, maintaining key business registers, databases and software.

Supporting the Development & Building (D&B) Manager and broader team with document preparation, office management, and financial administration.

Managing the day-to-day office environment to ensure it remains tidy, organised, and well-stocked.

Managing calendars, scheduling meetings and coordinating events.

Assisting with onboarding, employee records and coordinating training sessions.

Assisting with administrative tasks as required, including support for multiple office locations.

Bridge Knowledge is an engineering consultancy providing services across Bridge, Road, Civil, Structural and Flood Studies to the government and private sectors. This role supports the Development and Building Team who provide Civil and Structural engineering services for Residential, Commercial, Industrial and Commercial buildings, and for land development (subdivisions). We have offices in Coffs Harbour, Grafton and Lismore.

THE IDEAL CANDIDATE WILL HAVE

5+ years experience as an Administration Coordinator.

Excellent communicator - able to interact with people of all levels in a confident, professional manner.

Excellent organisational skills with strong attention to detail.

Must be able to handle anything that is thrown at you with grace and skill.

Can work independently and be one step ahead of the Team.

Advanced Microsoft Office skills, with an ability to become familiar with company specific programs and software.

Ability to act autonomously, proactively and maintain confidentiality.

Demonstrated experience in establishing, building, and maintaining relationships with colleagues and clients.

An excellent understanding of finances.

Highly organised and process-oriented, with a strong focus on accuracy and efficiency. Skilled at maintaining reliable data systems, streamlining administrative processes to reduce manual tasks, and ensuring team accountability for results.

Service focus - committed to delivering exceptional support by building strong working relationships and proactively meeting the needs of the Development and Building Team, as well as other key stakeholders.
