About the Role

This role is the glue of our operations. You’ll be working alongside the Director to ensure the smooth, efficient delivery of projects, internal workflows, and financial processes. You’ll bring systems thinking, organisation, and analytical sharpness to keep everything (and everyone) on track.

From tracking budgets to briefing creatives, identifying blockers to optimising tools, we’re looking for someone who thrives behind the scenes making the magic happen.

What You’ll Be Doing

Operations Oversight

Ensure every team member is clear on deliverables, timelines, and priorities

Monitor time tracking, project status, and output quality

Drive improvements in efficiency, quality, and productivity

Project & Client Coordination

Audit client accounts for gaps, inefficiencies, and growth opportunities

Identify bottlenecks and provide proactive solutions

Assist the Director with strategy by offering a whole-business perspective

Website and Tech Stack Coordination

Liaise with internal and external dev teams to manage website progress

Evaluate and maintain tools for delivery, communication, and reporting

Ensure tech stack is aligned with team and client needs

Finance and Administration

Track budgets, approve invoices, and manage spending

Provide financial reporting to the Director

Coordinate with bookkeepers to ensure up-to-date records

Team Workflow Management

Manage team-wide coordination, internal comms, and capacity planning

Own project systems (ClickUp), updates, and processes

Keep the train running on time, always

Reporting & Analytics

Maintain dashboards for client billing, team utilisation, and ROI

Provide data-driven insights for Director and leadership meetings

What You’ll Bring

3+ years in an operations or coordination role (ideally in a marketing or creative agency)

Experience with GoHiLevel, Zendesk, ClickUp, Xero, GA4, Slack is highly preferred

Strong grasp of project systems, budgeting, and reporting

Excellent communication, organisation, and time management skills

A proactive, solutions-first mindset with high attention to detail

Ability to manage multiple priorities with calm and clarity

Bonus: Familiarity with CMS platforms and web development workflows
