About the Role

We’re looking for a proactive and experienced Lead Production Coordinator to help us manage and deliver a wide range of creative content projects. This role is ideal for someone who has worked in similar environments and is now ready to step into a leadership position with greater autonomy and impact. This is a full-time, office-based role in South Melbourne, working closely with the Director and broader production team.

This is a growth-focused role, we’re committed to nurturing the successful candidate and supporting their career development as they grow into more senior responsibilities over time.

You’ll play a key role in ensuring our client projects run smoothly, from quoting and scheduling through to shoot coordination and post-production handover. Some projects will be simple and require only light-touch oversight; others will be more complex, requiring detailed planning, pre-production meetings, and coordination with multiple stakeholders.

While direct experience in video or photo production is a bonus, it’s not essential. What’s most important is your ability to manage timelines, coordinate people, communicate clearly, and solve problems with a calm, can-do attitude.

Key Responsibilities

Coordinate incoming projects, assign to appropriate team members, and track progress

Develop complex production quotes and proposals, including preparing simple quotes and project plans where appropriate. You’ll be supported by our admin officer, the Director, and the wider production team throughout the process

Schedule shoots and brief photographers, videographers, editors and producers

Liaise with clients in pre-production, helping organise meetings and clarify deliverables

Set up project boards and templates in Monday.com

Ensure production and post-production teams have everything they need to deliver on time

Occasionally attend shoots as the on-site client liaison or to assist with logistics

Follow up with clients post-shoot to ensure a smooth handover to post-production

Keep projects moving forward with clear communication and excellent documentation

What We’re Looking For

5+ years experience in a production coordination or project management role, preferably in a creative, media, or corporate production environment

Demonstrated ability to lead and manage complex projects across multiple teams and timelines

Someone who thrives in a dynamic environment and can confidently juggle multiple productions in a single day, switching focus quickly between very different types of assignments

A positive, solutions-focused mindset, someone who brings inspiration to the team, maintains a can-do attitude, and helps create a collaborative, uplifting environment

A person who genuinely enjoys working within systems and processes, understanding they are the backbone of a successful company. These systems improve efficiency, enhance the quality of the final product, and ensure excellent client satisfaction

Proven experience working across a range of software tools such as CRMs, quoting/invoicing systems, and project management platforms. A high level of attention to detail and consistency in documenting information is essential throughout the entire production journey

Experience working with large corporate organisations or well-known brands, with the ability to confidently communicate with a range of stakeholders in professional settings

Advanced skills in Microsoft Excel and/or Google Sheets, with the ability to manage timelines, budgets, and production details through spreadsheets

Strong organisational and time management skills, you love a checklist!

Great written and verbal communication, you’ll be talking to clients and team members daily

Confidence working across multiple projects at once, without missing the details

A proactive attitude, willing to jump in where needed and take ownership

Familiarity with Monday.com or similar project management tools is not essential but will be viewed favourably

A basic understanding of media production workflows (even better!)

Salary & Benefits

Salary range: $80,000 – $90,000 + super, depending on experience
