Mackay Regional Council is on the lookout for two dynamic and enthusiastic Project Support Officers to join our Infrastructure & Operations Department. If you have a knack for organisation, a passion for supporting major projects, and a desire to work in a collaborative environment, this is the perfect opportunity for you!

One of these positions is Permanent Full Time.
One of these positions is a temporary contract covering parental leave from August 2025 - January 2027.

About the Role:

As a Project Support Officer, you will play a crucial role in facilitating the successful delivery of programs and projects. Your responsibilities will include:

  • Supporting Project Managers: Assist in the delivery of major projects and manage minor activities within the Portfolio Management Office. You'll also get to manage stand-alone minor projects within the department.
  • Documentation and Reporting: Prepare relevant documentation such as presentations, reports, agendas, minutes, and workshop materials to ensure that Program and Project Managers have the information they need to succeed.
  • Financial Management: Provide financial management support, including creating work orders, reviewing actuals vs. budget, and generating reports from enterprise systems.
  • Business Reporting: Assist with the preparation of cyclical business reporting requirements, ensuring all reports and deliverables are on time and of high quality.
  • Risk Management: Identify assumptions, risks, issues, and dependencies while administering program/project registers and offering advice.
  • Procurement: Prepare project procurement documentation, obtain quotes, and collate relevant documents for tenders in accordance with Council's procurement policy.
  • Continuous Improvement: Manage and improve project administrative systems and provide advice on project process and methodology issues.
  • Networking: Build successful networks within Mackay Regional Council to support the efficiency of the Capital Works Directorate.

Qualifications and Skills:

Essential:

  • Experience in a project, planning, and/or scheduling environment.
  • Effective administrative, planning, and coordinating skills.
  • Ability to adapt to changing work environments while maintaining a positive attitude.
  • Well-developed interpersonal and communication skills, especially in customer service and stakeholder management.
  • Proficiency in the Microsoft Suite of Programs, preferably at an intermediate level.
  • Sound business acumen skills.
  • A current QLD "C" Class Driver's Licence or interstate equivalent.

Desirable:

  • Diploma level or similar qualification in Project Management or a related discipline
  • Ability to interpret construction plans, specifications, and head contract clauses
  • Experience with MS Project, FinanceOne, Ci Anywhere, or other project-related software
