About the Role

We are seeking a dynamic and detail-oriented National Work Winning Coordinator to join our team in Sydney. This pivotal role supports the strategic growth of the business by leading and coordinating high-quality submissions for bids, tenders, and proposals across a diverse portfolio of engineering and infrastructure projects.

Working closely with technical leaders, project directors, and marketing professionals, you will play a key role in crafting client-focused, compelling responses that align with our brand and help secure major national projects. Your ability to manage complex deadlines, extract key content from stakeholders, and elevate the quality of written and visual materials will be essential to our continued success.

This is a national role, offering the opportunity to contribute to some of the most exciting and impactful projects in the country while working in a collaborative, fast-paced environment.

Key Responsibilities

Bid & Proposal Management

Lead and coordinate the full lifecycle of tender and proposal submissions (EOIs, RFPs, RFQs) across multidisciplinary sectors and offices.

Develop strategic, client-focused content including capability statements, CVs, project sheets, and tailored response narratives.

Collaborate with technical experts to refine key messaging, win themes, and differentiators.

Format and design submissions using Adobe InDesign, Word, and PowerPoint to align with brand standards.

Ensure all submissions are compliant, error-free, and delivered on time.

Knowledge Management

Maintain and update a national content library (CVs, case studies, templates).

Capture and codify best practice responses and successful win strategies.

Identify content gaps and develop new collateral to strengthen our competitive edge.

Track bid activity and outcomes to support reporting and trend analysis.

Continuously improve templates, systems, and processes to enhance bid efficiency and consistency.

Brand & Quality Assurance

Act as a brand ambassador, ensuring consistency in tone, style, and presentation across all documents.

Align all content with Meinhardt’s strategic positioning and brand voice.

Compliance & IMS Responsibilities

Ensure documentation meets the standards of Meinhardt’s Integrated Management System (IMS).

Support health, safety, and environmental compliance initiatives and training.

Participate in internal improvement and compliance programs as required.

Professional Development & General Duties

Attend training and development sessions to grow professionally.

Ensure timely completion of timesheets and delivery of high-quality outputs for internal and external clients.

Contribute to continuous improvement by identifying and implementing process enhancements.

About You

Skills and Experience

Minimum 5 years’ experience in bids, marketing, or proposal coordination, preferably within the AEC (architecture, engineering, construction) industry

Advanced proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Photoshop

Strong writing and editing skills with the ability to translate technical input into persuasive, client-focused content

High attention to detail with strong layout, formatting, and proofreading capabilities

Familiarity with knowledge management systems and content libraries

Proven ability to manage multiple deadlines and collaborate with senior stakeholders in fast-paced environments
