A Contract Administrator in the childcare division at Integrity Facilities Management will oversee service agreements related to cleaning, maintenance, and compliance across child care centers. They ensure contracts meet regulatory standards, coordinate site-specific service delivery, and liaise with both clients and internal teams. The role of a Contract Administrator in this context involves specialized and tailored contract management that ensures compliance, quality, and suitability of services for child care providers.
Job Description
As a Contract Administrator you will be responsible for end-to-end commercial management of cleaning, maintenance and hygiene contracts delivered by Integrity Facilities Management across our childcare portfolio, your key duties will include;
Draft, review and negotiate new and renewed service contracts (cleaning, maintenance, waste & hygiene) to ensure commercial viability, statutory compliance and alignment with client-specific risk and service standards.
Co-ordinate the entire tender / RFT process – developing bid schedules, conducting pre-award site inspections, analysing subcontractor proposals, preparing pricing models and compiling supporting documentation required for compliant submissions.
Administer contract variations, extensions and exit clauses, maintaining accurate registers of scope changes, costs, KPIs and timeframes, and seeking internal approvals before issuing formal amendments.
Monitor contract performance and risks by collating service logs, audit results, incident reports and compliance certificates
Act as the first point of contact for contractual enquiries and dispute resolution, interpreting terms, assessing service shortfalls, negotiating remediation or compensation, and escalating unresolved issues to operational stakeholders.
Liaise with finance, procurement and site managers to reconcile progress claims, approve purchase orders, and validate service delivery against agreed KPIs and budget parameters.
Develop and maintain stakeholder relationships with childcare centre directors and key suppliers to maximise contract value, promote continuous improvement and identify new business opportunities.
Generate periodic compliance and client-satisfaction reports and present recommendations for process or cost optimisation initiatives to senior leadership.
Manage and update documentation such as contractor induction forms, site-specific SWMS, compliance logs, and service sign-offs to ensure alignment with child protection and safety laws.
Coordinate with the business development and compliance teams to onboard new childcare contracts.
Qualifications
Bachelor’s degree or higher qualification in a related field.
Minimum 1 year of relevant work experience
Ability to interpret, draft, and manage service agreements
