What You’ll Do

This is a dynamic, face-paced and varied role that sits at the heart of our operations. As our Admin Assistant, you’ll be the go-to person for keeping our office running smoothly while also helping bring our events and member engagement to life. You’ll provide hands-on support to the CEO and team.

Here’s what your day-to-day might include:

Inbox and calendar management

Assisting in the coordination of events, conferences, meetings, and webinars:

Managing bookings and logistics for online and in-person events

Preparing and sending instructions and reminders to members

Assisting with catering, venue setup and AV on event days

Assisting with preparation of meeting papers, policy documents and emails

Maintaining accurate member and CPD records in our member database (Membes)

Helping compile content for newsletters, social posts or internal comms

This is a role where no two days are the same – you’ll need to be proactive, curious, and ready to roll up your sleeves.

About You

You're a strong organiser, a clear communicator, and a natural problem-solver who thrives in fast-paced, people-focused environments. You’ve got a sharp eye for detail and a calm, can-do attitude.

You’ll bring:

Proven experience in time management, ideally in a not-for-profit or member-based organisation

Excellent written and verbal communication skills (you’ll be the friendly face and voice to members)

Demonstrated proactive mindset, strong initiative, and the ability to anticipate needs

Confidence with Microsoft Office, inbox and calendar management, and digital tools like Teams, SharePoint, or Canva

Familiarity with policy and procedure development

A team-first approach with the flexibility to jump in where needed

Bonus points if you have:

Experience working with membership databases (particularly Membes)

Exposure to event planning or content coordination

This role requires occasional travel across NSW and attendance at after-hours events (time in lieu is offered) so a full drivers licenses is needed.
