Role Overview
Client Services – Updates is a support role within the Development Agency team, responsible for delivering timely and professional communication to clients and agents throughout the property construction and sometimes settlement process. The role focuses on providing regular project updates, maintaining CRM and representing the business during key milestones.
Key Responsibilities
Construction Updates & Communications
Fortnightly and/or monthly visits to all project sites to capture construction progress photos.
Liaising with site supervisors to coordinate the type of photos needed
Organise and file all photos methodically by project and stage and upload to HubSpot with accurate stage updates.
Prepare and send monthly construction update EDMs using existing templates, ensuring timely delivery and accuracy.
Regularly update EDM templates to reflect project-specific changes.
Maintain and update contact and agent distribution lists in HubSpot to ensure correct targeting of communications.
Track all sent updates and status reports in HubSpot to maintain up-to-date client records.
CRM & Marketing Admin
Ensure HubSpot records are accurately updated with the latest client interactions and project milestones.
Team Support & Ad Hoc Duties
Support the wholesale department and wider team with administrative and coordination tasks as required.
Assist in client liaison and communication as directed.
On-Demand Responsibilities (As Required)
Attend Practical Completion Inspections (PCIs) and valuation bookings across project sites in the Western and Northern suburbs of Melbourne, acting as a professional representative of the company.
Attend settlement key handovers to clients, ensuring a seamless and personable experience.
Key Skills & Attributes
Highly organised with excellent attention to detail
Strong verbal and written communication skills
Professional presentation and client service mindset
Proficiency with HubSpot CRM or similar platforms
Proficiency with Microsoft Office
Basic marketing/email platform experience (e.g. EDM software such as HubSpot, Mailchimp)
Ability to travel to site locations regularly (driver’s license required)
Self-motivated and adaptable to a dynamic environment
Preferred Experience
Prior experience in property, real estate, construction, or project marketing roles
Experience with client handovers or customer service in a property-related field
