Job Description

This is a pivotal role in ensuring the smooth day-to-day administration operations of our firm. You’ll bring with you a strong background in administration, ideally within professional services (accounting and finance) along with a proactive mindset and a willingness to learn and grow within the business.

You’ll be the kind of person who is naturally organised, thrives on efficiency, and brings a “can-do” attitude to everything you do. This is a busy and rewarding position within a highly supportive environment — perfect for someone who enjoys variety, responsibility, and making a real impact.

Roles & Responsibilities:

Email management of busy administration inbox

First point of contact for all incoming calls and face to face enquiries

Full management of mail, including electronic and general mail

Welcoming clients and visitors at main desk

Organising meeting rooms for scheduled meetings

Electronic filing and scanning using Dropbox and SharePoint

Client services duties including liaising and follow up on all relevant client matters

Manage client compliance packages including digital signing packages

Assisting with client onboarding and offboarding using Xero Practice Manager

ATO Portal Management - Extraction of reports, client data base maintenance and registrations

General Housekeeping duties of common areas

Supporting the Office Manager with day-to-day office and practice matters and projects

Support team culture and assist with arranging events

Provide additional administrative support to the team as and when requested

Qualifications & Experience:

2+ years of office administration and team support experience in an accounting firm

Strong communication skills, both verbal and written

Exceptional attention to detail

Ability to multitask, prioritise and work under pressure

Excellent organisational and time management skills

Excellent skills using Microsoft 365 Office

Experience with Xero, ATO Portal and ASIC Portal is desirable

Experience in Corporate Secretarial Affairs would be considered an asset
