Our Practice

We are a surgical medical practice (solo surgeon) located within St Vincent’s Clinic Darlinghurst. Our medical software system is Clinic to Cloud.

You will be working in an environment that is dedicated to ensuring patients receive the highest level of patient care in a caring, professional and comfortable environment.

All our team share the similar philosophy, work ethic and patient-focused approach.

The Role

The main objective of the role is to provide reception and administrative support working collaboratively with the Practice Manager to ensure efficient daily operations of the practice.

Being a good fit to our culture and our work values is important, so we also welcome non experienced medical administration candidates to apply for the position as we are happy to train someone in medical administration.

The role is for 3 days per week and the hours are 8am to 5pm. Once a fortnight (on the Thursday), you will be required to work a full day at the consulting rooms at Prince of Wales Randwick. There needs to be a degree of flexibility to be able to cover the Practice Manager’s sick and annual leave (Practice Manager is going away end of August so will be required to cover the leave)

Duties and responsibilities of the role include:

  • Provide an outstanding level of customer service on the telephone and in meeting and greeting patients
  • Efficient coordination of all patient data, appointments, procedures, clinical files, correspondence and accounts
  • Schedule and effective management of patient bookings in Clinic to Cloud software
  • Processing of patient invoicing and receipting of consultations
  • Coordinate additional tests with pathology and imaging practices
  • Liaise with and maintain excellent working relationships with other medical disciplines and the hospitals
  • Provide administrative support to the Practice Manager

Your Skills & Knowledge

You will possess the following attributes: -

  • Previous medical reception experience is highly regarded, however not essential as willing to look at other candidates from other industries with strong administration and customer service skills
  • You are passionate about providing an exceptional level of customer service.
  • You are meticulous by nature and always ensure everything is completed to the highest standards
  • Compassionate, empathetic and warm disposition
  • You are a natural born organiser that can multitask and manage time efficiently
  • You are comfortable in using digital technology
  • Able to work well independently, but also as part of a team
  • Ability to connect and interact with people of all ages, background and personalities
  • Flexibility to be able to work additional days to cover staff annual/sick leave
