As we continue to expand, we are looking for Admin & Customer Service assistant to support our growing team.

About the Role

This role is ideal for someone detail-oriented, highly organized, and proactive.
The successful applicant will be joining the Sydney team and will be communicating daily with the Melbourne team as needed. Excellent written and verbal communication as well as good presentation is vital. You will be joining our team during an important growth phase, as we have recently launched our own e-commerce websites. Assisting in administrative tasks, customer service, data entry, order verification, and logistics support to maintain a seamless order fulfillment process. Strong Excel skills, experience with ERP/CRM systems, and the ability to manage multiple priorities efficiently are essential.

Key Responsibilities

General Admin Support – Assisting both the Sale/Wholesale and Logistic team with various administrative tasks as required.

Data Management – Accurate and timely data entry for Agency records (Dropbox, Excel, Web, Brandboom, Monday.com, CRM) and Logistic records such as inventory, and purchase orders.

Order Verification – Cross-checking purchase orders and supplier confirmations for discrepancies in quantities, pricing, and product details.

Document Preparation – Preparing packing lists, Order Confirmations, organizing shipping labels, and necessary freight documentation.

Inventory & Logistics Support – Assisting with stock reconciliation, receiving processes, and shipment tracking.

Daily Wholesale Support- Supporting daily task such as faulty stock claims, wholesale enquiries, orders and/or deliveries queries.

Customer Service – Assisting the E-commerce Manager in submitting orders to the 3PL, and answering CS questions

Showroom Assistance – Supporting the setup and pack-up of showrooms during selling campaigns.

Key Skills & Qualifications

Strong Attention to Detail – Ensuring accuracy in data entry and document management.

Proficiency in Excel – Comfortable using pivot tables, VLOOKUP, and data analysis functions.

Experience with ERP/CRM Systems – Prior use of platforms like Brandboom, Monday.com, or CIN7is beneficial.

Excellent Organization & Multitasking Skills – A strong and independent can-do attitude, positive outlook and grit will be essential. The ability to handle a fast-paced environment is imperative as we carry multiple brands with two main seasons every year for B2B business and constant E com orders.

Analytical & Problem-Solving Skills – Identifying and resolving issues or discrepancies efficiently.

Strong Work Ethic – Takes initiative and maintains a high standard of accuracy and professionalism.

Prior Experience in Supply Chain or Wholesale Logistics (Preferred but not Required) – A background in logistics, stock management, or fashion wholesale would be advantageous.
