We are partnering with a progressive and high-growth agribusiness to recruit an experienced Executive Assistant reporting to the CEO. This newly created and exciting opportunity will see you play a key role in working closely supporting the CEO & executive team in a dynamic role, balancing management & operations.

Full Job Description
Are you a proactive and resourceful Executive Assistant looking for a role where no two days are the same? This is your chance to step into a pivotal position supporting a high-energy CEO while also working closely with the Executive Leadership Team.
In this fast-paced, hands-on role, you'll juggle executive support, office management, and business operations, keeping everything running smoothly and making a real difference. If you thrive in a dynamic environment and love being the go-to person, this is the opportunity for you!
To enjoy and be successful in this role you will possess excellent communication skills and be adept at both working autonomously and collaborating within a team.

Your key responsibilities will include:

  • Oversee several daily operations, ensuring a smooth and efficient workflow by managing schedules, delegating tasks and resolving any issues that arise promptly.
  • Manage office supplies and stationery inventory and place orders as necessary to ensure that the departments have the materials and resources readily available that they need to function effectively. In addition, maintain and purchase equipment and liaise with suppliers to ensure that everything is operating seamlessly.
  • Manage and co-ordinate the CEO diary, ensuring optional time management and prioritisations of tasks. Keep an eye on CEO appointments and ensure briefs are available 3-4 days in advance
  • Arrange and co-ordinate meetings, agendas – ensuring all necessary materials are available
  • Answer and handle phone enquiries professionally and in a timely manner
  • Organise and plan meetings
  • Arrange all agendas, minutes and meeting notes for all board meetings in advance
  • Communicate confidently with all internal stakeholders
  • Update contact lists
  • Administrational support including document preparation, filing and other tasks as required
  • Assist with external business events and functions
  • Oversee and co-ordinate maintenance and repairs for office equipment and facilities, liaising with IT and other service providers to ensure problem resolution
  • Provide general administrative support to the team as needed

What you will bring to this role:

  • Proven experience in a similar role, with a track record of success as an Office Manager/PA or EA.
  • Exceptional verbal and written communication skills
  • Ability to work autonomously and collaboratively within a team, with a proactive and solution-orientated mindset.
  • Proficient in standard business IT systems, including all Microsoft packages
  • Adept at minute taking
  • Highly organised, able to take responsibility and use initiative
  • Confidence in engaging with senior stakeholders, the general public and external organisations
