About Us:
In 1995, four tribes lodged overlapping native title claims across the Bundaberg Region, spanning from Gladstone to the Auburn Range near Monto and the Burrum River – covering 19,500 square kilometres of land and 26,600 square kilometres of sea. After 17 years, the Bailai, Gurang, Gooreng Gooreng and Taribelang Bunda peoples joined forces and successfully established one united corporation – Port Curtis Coral Coast Ltd. Since consent determination was granted in 2017, the PCCC, now referred to as FNBGGGTB (First Nations Bailai, Gurang, Gooreng Gooreng, Taribelang Bunda People) and representing around 5000 common law holders, has grown to comprise a group of charitable entities consisting of RNTBC (Registered Native Title Body Corporate managing native title rights and interests), PCCC Trust, (managing and investing income and property), and the DevCo (Development Corporation which operationalises strategic priorities).
About the Role:
The position of the Executive Assistant will provide confidential executive support to the Acting Group Chief Executive Officer (“CEO”), with consideration to the Board of Directors of the PBC, PCCC Trust and Development Corporation and any other person directed by the Organisation from time to time. The Executive Assistant will provide a high level of administrative and executive support and liaise with internal and external stakeholders, whilst maintaining a high level of professionalism and discretion at all times.
Your general responsibilities for this role, include but are not limited to:
Scheduling appointments, organise venues, events and catering, organise travel and transport arrangements;
Coordinating telephone enquiries for the Acting Group CEO;
Coordinating the day-to-day activities of the Acting Group CEO, through extensive diary management;
Managing correspondence, including, monitoring emails, and responding to enquiries where necessary, collation and follow-up of information and tracking of high-volume activity to ensure deadlines are met;
Arranging and attending meetings as required;
Ensuring locations for meetings are appropriately set up, packed up and catered for; and
Organising and preparing documents for meetings (i.e. agendas, presentations, brief reports), as well as complete minute taking and distribute minutes and outstanding actions in a timely manner.
This position is based in Bundaberg/Gladstone (depending on the successful candidate), however, travel between both regions will be required.
About you:
To be successful in this role, we are looking for an individual which obtains the following:
Certificate in Business Administration (desired);
Previous experience working as a personal assistant or executive assistant (required);
Previous experience working with First Nations People (desired);
Knowledge and understanding of First Nations culture and heritage;
Proficiency in Microsoft Office, Excel and relevant databases;
Exceptional time management, organisational skill and interpersonal skills
Current C Class Drivers Licence (Qld) – essential;
Ability to work outside of your ordinary hours, you may be required to perform reasonable additional hours from time to time; and
Ability to travel across Bundaberg and Gladstone.
