About the Role
The Mining and Automotive Skills Alliance (AUSMASA) is seeking an experienced Executive Assistant to provide high-level support primarily to the CEO, with additional support to the Executive Director, Operations and Corporate Services, and the broader Executive Team as required.
This role is critical to maintaining alignment across executive priorities, supporting external engagement, and ensuring smooth coordination of organisational planning and governance. From managing schedules and preparing agendas to coordinating Board meetings and strategic events, your contribution will directly enable effective leadership across AUSMASA.
Key Responsibilities
Provide calendar, travel, and administrative support to the CEO, and on occasion the Executive Director and other Executive Leaders
Coordinate meetings, strategic planning sessions, and leadership events – including preparing agendas, presentations, briefing papers and minutes
Manage incoming correspondence and act as a key liaison point for the CEO, ensuring priorities are actioned and communication is timely
Support the preparation of board papers and the logistics of Board and Committee meetings
Assist with reports, presentations, and documentation that contribute to strategic initiatives and organisational projects
Maintain executive coordination rhythms, planning cycles, and operational workflows
About You
You’re an experienced Executive Assistant who thrives in fast-paced environments, with the ability to balance competing priorities and support senior leaders with discretion, diplomacy, and initiative.
Essential:
Experience supporting CEOs or senior executives in a dynamic and evolving environment
Strong organisational skills with demonstrated experience managing calendars, meetings, travel, and communications
High attention to detail and the ability to manage agendas, take minutes, and follow through on actions
Exceptional communication and relationship-building skills
Professional judgement, discretion, and initiative in managing sensitive matters
Proficiency in Microsoft Office and virtual meeting platforms
Desirable:
Understanding of the mining or automotive sectors, or the VET/public sector landscape
Previous experience supporting a Board or preparing governance documentation
Experience working in a small national team or startup-style environment
