We're looking for an Operations Administration Assistant to join our port team in Dampier, WA, for a period of 2 to 6 months to cover a period of leave. This temporary role is ideal for someone who's organised, adaptable, and enjoys being a reliable go-to person in a busy operational setting - an immediate start is available!
What You Can Look Forward To
Since 1 October 2023, Svitzer has proudly provided terminal towage and pilot transfer services at Woodside's LNG export operations in the Port of Dampier. You'll be at the heart of our port operation, providing administrative support that ensures smooth coordination across scheduling, logistics, and crew management. As the go-to person for the team, you'll gain hands-on experience in marine operations while working with collaborative and engaging colleagues.
What You Will Do
Reporting to the local Operations Manager, your key responsibilities in this position will include:
- Be the primary point of contact for operational administration matters for our crew, ensuring you're approachable and available to support them.
- Manage crew rosters, including rotations and shift coverage.
- Ensure compliance with crew certification, training, and induction requirements.
- Coordinate training, permits, and site visits.
- Facilitate travel logistics for crew on FIFO arrangements.
- Manage crew accommodation, including room allocations and property maintenance.
- Handle logistics such as food stores, uniform/PPE orders, and other necessities.
- Assist with crew onboarding and offboarding processes in collaboration with People & Culture.
- Coordinate site vehicles, including novated leases and fuel card procurement.
- Prepare timesheets and assist with payroll information.
- Attend meetings, record minutes, and follow up on action items.
- Process purchase orders and manage invoicing and coding.
What You Will Need To Succeed
To thrive in this position, you should demonstrate:
- Previous experience in administrative or operational support roles (experience in resource or personnel scheduling is advantageous, as is maritime experience.
- The ability to interpret and adhere to operational procedures and processes.
- Strong organisational skills with a knack for prioritising tasks and meeting deadlines under pressure.
- A personable and approachable nature that helps you build strong relationships and foster team cohesion.
- High attention to detail and accuracy in all aspects of work.
- Computer literacy including knowledge and experience with various software including Microsoft Office, business management and accounting programs.
- Ability to work discretely with confidential and sensitive information.
