The Role
We are seeking a highly organized and detail-oriented Operations Administration Assistant to join our team. This role is ideal for someone who enjoys supporting operational systems, has strong administrative skills, and thrives in a dynamic office environment.
The Operations Administration Assistant provides administrative support to the operations team, assisting in ensuring the smooth and efficient management of daily business activities. This position is responsible for a range of tasks that include supporting of logistic activities, record-keeping, communication, and aiding various operational functions to help maintain an organized and productive work environment.
Key Responsibilities
Provide general administrative support to the operations and management team.
Perform data entry and maintain financial records, including generating daily invoices.
Receive and process orders from wholesale clients, ensuring accuracy in order details and timely fulfillment of delivery commitments.
Assist with scheduling and coordinating production and delivery requirements.
Provide retail assistance in a small retail environment including shop presentation, promotional displays, cash handling, and delivering excellent customer service.
Assist with procurement processes, including securing new vendors, tracking orders and inventory levels.
Maintain accurate and up-to-date records of operational activities, including orders, deliveries, and inventories.
Liaise with suppliers, clients, and internal teams regarding operational matters and queries.
Assist with employee onboarding and accurate timesheet recording to support workforce management.
Ensure effective communication across various departments to facilitate smooth operations.
Assist in maintaining quality control by ensuring operational processes align with the company’s standards and objectives.
Experience
Previous administrative or operations experience is preferred.
Key Competencies
Strong organizational and time-management skills.
Excellent communication skills, both written and verbal.
Ability to manage multiple tasks and priorities simultaneously.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Proficient in MYOB AccountRight.
Familiarity with office management systems and databases.
Strong numerical and data entry skills with high attention to detail.
Demonstrates exceptional customer service skills.

Ability to work efficiently with virtual task management systems to track and complete assigned tasks.

Availability
We are seeking a candidate who can start immediately and is available for some paid Saturday training sessions before the official start date and during the initial onboarding period.
Casual contract with a stable roster
Work schedule: Monday to Friday, 8:00 AM – 4:00 PM with some potential variation for scheduling.
