The Role
We are looking for an experienced receptionist or customer service individual to join our team on a permanent, part-time basis. The current opportunity is for Monday, Tuesday and Thursday afternoons from 2.15 pm – 5.15 pm, and Friday 9.00 am – 5.00 pm (16.5 hrs per week). You will be the welcoming face of our clinic, greeting our clients as they enter, and answering phone calls and emails. A high level of customer service experience is preferred, as effective communication is a foundational skill of this position. You will be responsible for checking in clients, booking appointments, following up leads and referrals, invoicing and accounts reconciliation, and other various administrative duties. You will report to the Client Relationship Manager. As our clinic continues to expand, there may be opportunities for increased working hours.
Main Duties & Responsibilities
High-level customer service, welcoming clients and communicating accurately and with compassion.
Answer phone calls and emails from clients, referrers and other external stakeholders.
Communicating effectively within a high-performing, busy team.
Utilise Cliniko (clinic software) competently.
Utilise Xero accounting software competently.
Uphold confidentiality and privacy standards in accordance with the Privacy Act.
Collect payments, complete invoicing and reconciliation duties.
Assist therapists and other support staff with administrative duties as required.
Complete daily closing and opening duties, including light cleaning tasks.
Meet KPI’s as developed for the roll.
Skills and Experience
Minimum of two years of experience working in a receptionist or administration role. Clinic/medical/allied health experience preferred.
Excellent communication skills, both verbal and written, with a professional and courteous demeanour.
Strong organisational skills and attention to detail, with an ability to multitask and think on your feet.
Excellent computer skills, specifically working with emails and Microsoft Word/Excel. Preferred experience using clinic-based software (Cliniko, or similar).
Ability to work independently with minimal supervision and work as part of a team.
A strong focus on client well-being and compassion. Experience working with people in the disability field is welcome.
