Senior Allied Health Practice Assistant

Part Time or Full Time Opportunity

We're Regather, a small social work practice here in Bundaberg. Our name comes from the idea of helping people gently gather the pieces of their lives back together. We offer counselling and support to adults, older people, and adolescents in our office and sometimes in their homes. We're growing and looking for an experienced, kind, and organised person to join our team, ideally full-time, as a Personal Assistant and Senior Allied Health Receptionist. A Bit About Us

Our main goal is to provide genuine care and support for our clients. We work with people through NDIS, My Aged Care, Work Cover, Medicare and other programs, as well as private clients. We're a busy little practice, but we value being a supportive and helpful team. We have regular team meetings and try to make sure everyone feels supported in their role. We believe in working together and helping each other out.

What the Role Involves

As the first point of contact, you'd be a really important part of our team and our clients' experience. Day-to-day, you'd be:

Greeting clients warmly when they arrive – sometimes people might be having a tough time, so a friendly face makes a big difference.

Answering phone calls and handling enquiries in a kind and helpful way.

Looking after appointment bookings and managing the schedule efficiently.

Handling the billing side of things – processing payments and invoices for different funding types (like NDIS, Medicare, Work Cover, private). We use Zanda (Power Diary) for a lot of this, and while experience with it would be great, we'll provide training.

Keeping client information organised and confidential (scanning, data entry).

Liaising with referrers, other health professionals, and support services to get the information needed for client care.

Helping our social workers with admin tasks to keep the office running smoothly.

Helping follow up on invoices, acquittals, and managing daily tasks.

Working with our lead social worker on some marketing tasks, too.

It can get quite busy, so being able to juggle different things at once is helpful.

Who We're Hoping to Find

We're looking for someone who:

Has experience working as a receptionist, ideally in a medical or allied health setting.

Genuinely enjoys helping people and has a caring approach.

Is organised, reliable, and pays attention to the details.

Is comfortable using computers and learning new systems (we'll provide training on our specific software, Zanda). Knowledge of medical software and billing processes (Medicare, private health) would be a bonus.

Communicates clearly and warmly.

Can work independently when needed but also enjoys being part of a team.

Is comfortable in a busy environment and understands the importance of confidentiality and professional boundaries.

Has a current driver's license and their own car.

Important Note: This role requires someone to be here in the office with us, so it isn't suitable for remote work. Reliability is key.
