Immediate Start:
Role to commence from 19 May 2025.

Are you a detail-oriented, compassionate individual who thrives in a fast-paced environment? Do you have a passion for helping families and children on their therapy journey? If so, Paediatric Potentials OT invites you to join our team as a full-time receptionist.

About Us:
At Paediatric Potentials OT, we pride ourselves on providing exceptional therapy services in a purpose-built, state-of-the-art clinic designed to meet the unique needs of our young clients. Our facilities include dedicated gross motor rooms, a versatile training space, and a cosy staff lounge complete with a big-screen TV, bean bags, and comfy couches. We offer free on-site parking, and our clinic is just a short walk from Westfield Garden City, making it a convenient and enjoyable place to work.

What You’ll Do:

Client Interaction and Communication:
You’ll be the first point of contact for clients and their families, ensuring a welcoming experience. This includes managing in-person attendance at the clinic, handling phone calls, returning voicemails, and responding to email enquiries promptly and accurately. You will also schedule and reschedule appointments and confirm follow-ups to ensure smooth client journeys.

Administrative Support:
You’ll manage a variety of administrative tasks that keep the clinic running efficiently. This includes invoicing, daily payments reconciliation, and keeping client files up to date. You will assist with maintaining NDIS service agreements and ensuring all client documentation requests (e.g., letters, reports, forms) are processed accurately and promptly. You’ll also oversee the completion and processing of client onboarding forms.

Systems and Process Management:
You’ll contribute to the clinic's operational efficiency by utilising Cliniko (our clinic management system) to manage appointments, track client interactions, and maintain service agreements. You’ll help ensure that all operational systems are utilised effectively and that administrative workflows are smooth and consistent.

Client Onboarding and Relationship Building:
From first contact, you will play an important role in welcoming new clients, managing enquiries through the website, and ensuring their onboarding is smooth and efficient. You will help guide families through the therapy journey with a friendly and supportive approach, including offering parents tea or coffee during their meet and greet.

Office Maintenance and Organisation:
You will assist in keeping the clinic’s reception and office areas tidy and organised, contributing to a positive, professional environment.

Why Join Us?

Purpose-Built Facilities: Enjoy working in a clinic specifically designed to foster an inspiring and supportive environment for staff, children, and families.

Convenient Location: Free on-site parking and close proximity to Westfield Garden City’s restaurants, cafes, and shops.

Team and Well-Being Focus: Participate in our Wellness Wednesday activities, birthday celebrations, themed charity days, and end-of-term lunches.

Focus on Quality: In the early days of your role, we focus on the quality of your work rather than quantity, allowing you to build strong foundations and learn at a sustainable pace.

Desirable Skills and Qualities:

A hardworking, driven team player with a passion for working with families and children.

Proven ability to manage a competing workload with excellent time management and prioritisation skills.

Attention to detail and a personal drive to learn and grow.

Ability to thrive in a fast-paced environment and rise to daily challenges.

Strong interpersonal skills with the capacity to work collaboratively in a team.

How to Apply:
If this sounds like the right role for you, please submit your resume and a cover letter (preferably in PDF format) detailing why you’re the perfect fit for Paediatric Potentials OT.
