This dual role provides an opportunity to support the Chief Executive Officer while also ensuring the efficient functioning of their corporate office and serving as a key point of contact.
Position Overview:
The Executive Assistant & Office Coordinator will provide comprehensive executive and administrative support to the CEO, coupled with the responsibility of managing front office operations and providing administrative assistance to various teams. This position requires strong organisational and communication skills, a high level of discretion, and the ability to manage diverse responsibilities effectively.
Key Responsibilities:
- Provide comprehensive executive and administrative support to the CEO, including calendar management, correspondence, and meeting preparation.
- Oversee administrative tasks on behalf of the CEO and provide guidance to administrative personnel.
- Assist in the management of confidential company documentation related to insurance, patents, and international ventures.
- Maintain confidential records with accuracy and discretion.
- Serve as a point of contact for legal matters and liaise with their commercial tenants as part of their Property Management Portfolio regarding lease agreements.
- Provide administrative support for projects and initiatives as directed by the CEO, collaborating with relevant teams.
- Coordinate travel arrangements, accommodation, and schedules for the management team and assist with client entertainment as needed.
- Contribute to team or departmental management, adhering to occupational health and safety responsibilities.
- Develop and maintain effective communication with management, staff, clients, and external stakeholders.
- Support the implementation of marketing and communication strategies.
