Job Opportunity: Executive Assistant

WorkCon is seeking a dynamic Executive Assistant (EA) to join our team and provide exceptional administrative and organisational support to our Directors. As an Executive Assistant, you will play a critical role in ensuring the seamless execution of executive functions, working directly with senior management, internal teams, and key stakeholders. Your ability to prioritise, manage multiple tasks, and maintain confidentiality will be key to your success in this role.
Key Responsibilities:
Executive Support: Provide high-level administrative assistance to the Directors, including managing their schedules, coordinating meetings, and preparing materials for executive functions.
Travel Arrangements: Efficiently coordinate travel logistics, including flight bookings, accommodation, and transportation, ensuring all travel needs are met seamlessly.
Communication Liaison: Serve as the primary point of contact between the Directors, internal teams, and external stakeholders, ensuring smooth and efficient communication at all times.
Project Coordination: Manage and assist in high-priority projects, ensuring tasks are completed on time and to a high standard.
Document Preparation: Prepare and review required reports, presentations, and correspondence, ensuring clarity and accuracy in all communications.
Confidentiality: Handle sensitive information with discretion and professionalism, maintaining the highest level of confidentiality at all times.
Office Management: Oversee the organisation of office systems, maintaining a structured environment for easy access to documents and resources.
Proactive Problem Solving: Take initiative in identifying opportunities to improve executive operations and provide effective solutions.
Qualifications:
Current Australian Driver’s Licence.
Relevant experience in Construction/Real Estate or a similarly fast-paced industry is highly preferred.
Previous Executive Assistant experience is essential, ideally within a fast-paced environment or supporting executives across multiple international time zones.
Demonstrated ability to maintain a highly organised with exceptional attention to detail.
Experience & Skills:
Proven success in supporting senior management or executive-level roles, with the ability to manage multiple responsibilities and projects.
Strong coordination experience, particularly in construction or related industries, is a plus.
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with tools like Canva and Microsoft Forms.
Exceptional communication skills, with the ability to tailor messages for different audiences and maintain clear, professional interactions.
Strong decision-making skills, with the ability to perform well under pressure and prioritise competing demands.
Ability to work independently with minimal supervision while contributing effectively within a collaborative team environment.
Highly organised with a methodical approach to managing tasks, meeting deadlines, and maintaining attention to detail.
