Operations Assistant / Project Coordinator
Join Hart Automation, a leading audio-visual services provider catering to the East Coast of Australia, with offices in Brisbane and Melbourne. Our expertise lies in delivering technical installation services primarily to B2B clients in the corporate sector.
As we continue to expand, we are excited to welcome a dedicated full-time Operations Assistant / Project Coordinator to our Brisbane (Banyo) team. This pivotal role involves supporting our installation teams and B2B customers, working alongside our Operations Manager to optimise workflows from Sales to installation.
This role could also be suited to a Part time position if required.
Key Responsibilities:
Report directly to the Operations Manager, assisting in workflow optimisation.
Update CRM and project management data in dedicated software.
Provide timely and accurate information to project stakeholders.
Manage project-based inventory, conduct stock counts, and allocate inventory appropriately.
Coordinate information gathering across teams to ensure project milestones are met.
Update technician bookings system and monitor service calls through our ticketing portal.
Organise logistics for remote work arrangements and assist in coordinating company events.
Local office management.
Key Requirements:
Excellent written & verbal communication skills, both internally and with customers.
Proficient in collecting, analysing, and interpreting information.
Keen attention to detail and a commitment to delivering excellence.
Ability to handle diverse tasks across different domains (e.g., paperwork, digital documents, verbal instructions).
Strong team collaboration skills along with the ability to work independently.
Flexibility to work overtime when necessary.
Proficient computer skills, including Microsoft Office and Google equivalents.
Beneficial Skills (Not Required):
Interest in audio-visual equipment or technical aptitude.
Previous experience in the IT or construction industry.
Previous experience in customer-facing roles.
Basic graphic design skills using Adobe Creative Suite or Canvas.
