We are currently seeking a highly motivated and driven Administration Assistant to join the STEPS team and provide a range of routine administrative tasks with high attention to detail and accuracy.
This role is a temporary assignment from May through to August, immediate start, working Monday to Friday 25 hrs per week 8:30 am - 2pm on site at the STEPS Head Office in Caloundra.
Role Overview: As an Administration Assistant, you will play a crucial role in ensuring the smooth operation of various departments within STEPS Social Business. Your responsibilities will include:
- Checking daily attendance at the day college and contacting parents if students are absent.
- Collecting evidence such as student worksheets from trainers and managing paperwork.
- Working on student folders to ensure compliance with NDIS requirements, including updating forms every six months and coordinating with team leaders.
- Liaising with internal SSB/SGA staff and minimal external stakeholders.
- Covering administrative tasks across various departments, including the day college, Café on George, Garden Centre, and Steps Social Business.
- Coordinating tasks between departments to meet their specific requirements.
- Following up on board report requirements and meeting agendas for Café on George.
- Managing the concerns register and incident reports for Steps Social Business, ensuring accurate recording and monthly reporting.
- Sending reminders and following up on staff compliance, such as outdated First Aid certifications.
Key Duties:
- Provide a range of routine administrative activities to support the efficient operation of STEPS Social Business departments.
- Support the delivery of STEPS Social Business projects and services to clients/customers.
- Process business information and maintain administrative systems to ensure information flow meets standards and guidelines.
- Use relevant technology to prepare documentation and presentation materials for Heads of Departments and Executives.
- Support business unit filing systems by creating, storing, retrieving, and tracking files.
- Arrange meetings and manage the flow of business information by maintaining regular contact with other business areas.
- Provide reception duties, respond to enquiries, and escalate issues as necessary.
What We Are Looking For:
- Excellent customer service skills and the ability to work under pressure.
- A positive "can do" attitude and the ability to work within a team environment.
- High attention to detail and accuracy in administrative tasks.
- Ability to coordinate tasks across various departments and ensure compliance with requirements.
- Applicant must hold current Driver Licence, Working with Children's Card and NDIS Worker Screening Check
