We are seeking an experienced and highly motivated Medical Secretary to join our dynamic and supportive private gastroenterology consulting practice. The successful candidate will be responsible for performing a variety of essential duties to support the smooth and efficient operation of our practice. Below are the key responsibilities and the qualities we seek in a successful applicant:
Key Responsibilities:
- Referral Management: Process patient referrals and liaise with referring doctors, physicians, and practice staff in a professional and timely manner.
- Customer Service: Handle telephone and face-to-face inquiries with courtesy, efficiency, and a high standard of customer service, ensuring an exceptional patient experience.
- Appointment & Procedure Coordination: Organize and schedule private medical appointments, procedures, and theatre lists, ensuring seamless coordination.
- Collaboration: Communicate effectively with private hospital administration and other medical practices to ensure smooth patient care and clinical operations.
- Team Support: Be flexible and willing to provide cover for colleagues when needed, ensuring continuity of care and a supportive team environment.
- Issue Reporting: Promptly report any concerns or issues to the management team and the directing doctor to ensure quick resolution.
- Clinical Support: Perform tests such as breathing tests, body analyses, reception duties, and any other tasks delegated by the specialist (Applicants with a nursing background are encouraged to apply).
- Confidentiality: Maintain strict confidentiality of patient and staff information in compliance with practice guidelines and privacy regulations.
- Medical Records Management: Accurately maintain patient records and computerized notes within the practice's systems.
- Attention to Detail: Demonstrate self-motivation and attention to detail in all aspects of your work.
- Time Management: Exhibit excellent time-management skills with the ability to multi-task, prioritize, and remain organized in a busy environment.
- Clinic Organization: Ensure the practice is always neat, organized, and fully functional, creating a professional and welcoming environment.
- Customer Communication: Provide excellent verbal and written communication to ensure a positive patient experience at all times.
- Documentation Accuracy: Display high-level accuracy in communication and documentation, ensuring all patient information is properly recorded.
- Driver’s License: A current, valid driver’s license is required for the role.
Desirable Skills and Qualifications:
- Medical Secretary Experience: Previous experience as a medical secretary or in a similar administrative role is highly desirable.
- Software Proficiency: Experience with practice management software, such as Genie, is a plus.
- Nursing Background: Applicants with a background in nursing are welcome to apply, especially for clinical responsibilities like performing tests.
