Norwest Pest Management is on the look out for an Office Manager. This role ensures the efficient coordination of office procedures, supports field technicians, manages client communications, and maintains compliance with business systems and processes.
Key Responsibilities
Administrative Management
Oversee day-to-day office operations including reception duties, filing, scheduling, and correspondence.
Maintain client and job records in CRM and ensure accuracy across platforms (e.g., Formitize, Xero).
Prepare quotes, job reports, and invoices.
Staff Support & Coordination
Coordinate technician schedules, job bookings, and logistics (e.g., accommodation, vehicle usage).
Support recruitment, onboarding, and record-keeping of staff certifications and licenses.
Customer Service
Handle inbound calls and customer enquiries.
Follow up on quotes, schedule inspections, and ensure client satisfaction post-treatment.
Financial Administration
Assist with payroll data entry, accounts receivable/payable, and financial reporting.
Reconcile transactions and assist with Xero bookkeeping where needed.
Compliance & HSE
Ensure documentation of HSE protocols and assist with audits or inspections.
Track expiry of insurances, licenses, and safety certifications.
Essential Skills and Experience
Proven office management or administrative experience (3+ years preferred)
Strong organisational and time management skills
Proficiency with office software (Word, Excel, CRM platforms, Xero preferred)
Excellent written and verbal communication
Ability to multitask in a fast-paced environment
