About the Role:
A Night in Nashville is quickly becoming one of regional Australia’s must-attend country music experiences. Inspired by the soul of Tennessee and fuelled by the passion of our community, A Night in Nashville is on a mission to grow. A sell out in 2025 and entering its 5th year with around 2,000 loyal fans, we’re looking for a visionary Event Manager to help take this festival to the next level.
You’ll oversee every detail of the festival, ensuring it runs seamlessly from initial planning to final pack-down. If you thrive in high-energy environments and know how to turn big ideas into unforgettable experiences, we want to hear from you.
Key Responsibilities:
Event Planning & Strategy: Collaborate with the Festival Director and core team to develop timelines, goals, and event concepts. Contribute and translate creative ideas into executable plans that ensure smooth delivery across all festival components.
Budget Management: Build, manage, and track event budgets. Source cost-effective solutions and negotiate with vendors, contractors, and suppliers to keep everything on track financially.
Vendor & Supplier Coordination: Manage all supplier relationships—staging, production, lighting, AV, catering, toilets, fencing, first aid, and security. Ensure delivery and execution align with agreed timelines and standards.
Operational Logistics: Own the operational planning, including site plans, bump in/out schedules, permits, OH&S compliance, risk management, insurance, and contingency planning.
Marketing & Ticketing Support: Work with the marketing team to support promotion, ticketing timelines, and announcements. Ensure clear public communications and brand consistency across all touchpoints.
Stakeholder Communication: Liaise with key community groups, sponsors, local government, and emergency services to foster goodwill and ensure all parties are aligned with the event plan.
On-the-Day Management: Oversee bump-in, live event operations, and pack down. Act as a central contact point for crew, vendors, and volunteers. Handle any incidents with calm, confidence, and professionalism.
Post-Event Wrap-Up: Lead the debrief process, collect feedback from stakeholders, analyse what worked (and what didn’t), and make recommendations to improve future events.
What You’ll Bring:
Proven experience managing large-scale outdoor events or festivals (ideally 1,500+ attendees).
Exceptional project management and organisational skills.
Ability to lead a diverse team, delegate tasks, and maintain cool under pressure.
Strong negotiation skills and vendor management experience.
Understanding of risk assessment, insurance, permits, and compliance (especially in regional/local government contexts).
A passion for creating unforgettable live experiences—and a love for music and community impact definitely helps too.
