About the Role
We are seeking an organised and proactive Operations & Client Services Coordinator to join our Brighton-based team. This role supports the smooth delivery of our financial planning services, ensuring a high level of client satisfaction while helping the business operate efficiently and compliantly. You will work closely with advisors, paraplanners, and business leaders to manage contracts, processes, and service agreements — all within a dynamic and values-driven environment.
Key Responsibilities
Assist in the preparation, review, and maintenance of client service agreements, engagement letters, and internal planning documents.
Act as a point of contact for client service queries and coordinate resolution of issues related to contracts or ongoing planning work.
Maintain accurate documentation and support administrative processes across financial planning and business operations.
Collaborate across the business with advisors, support staff, and external providers to help achieve service excellence and strategic goals.
Provide operational support to senior leadership, contributing to decision implementation and business planning.
Monitor vendor relationships and third-party service providers, reporting any changes or performance issues.
Prepare and review reports, summaries, and updates on the firm’s planning and operational activities.
Analyse project and planning data to track progress and identify improvements.
Support logistical and administrative planning related to office space needs and business growth.
Assist in negotiating and maintaining terms with internal teams and external service providers.
Ensure existing contracts remain current, accurate, and compliant with evolving business needs.
Identify and communicate any contractual risks or concerns to management as needed.
Stay informed about changes in financial services regulation and liaise with legal and compliance professionals when required.
Help explain and clarify contract terms for internal teams and support their adherence to processes and compliance standards.
Build strong working relationships with clients, partners, and vendors to ensure value delivery and reduce operational risk.
What We’re Looking For
Experience in a similar operations, client service, or administrative coordination role — ideally within financial services.
Strong organisational skills and attention to detail, with the ability to manage multiple priorities.
Clear and professional communication skills, both written and verbal.
A collaborative and proactive approach, with a focus on client care and service quality.
Knowledge of financial planning, compliance, or professional services contracts is a plus.
Confidence working with internal systems, Microsoft Office, and CRM tools.
