The Company
Flooring Innovations Victoria was established in 2003 and is a leading commercial flooring business in the construction industry, providing a range of flooring services such as carpet tiles, broadloom carpet, vinyl flooring, polished concrete, and floor preparation.
Due to further client expansion, we have an exciting opportunity for a Project Administrator to join our team based in Sunshine West. There is a great variety of tasks associated with the role and we are looking for someone who is interested in growing with our company.
Reporting to the Contract Administrator and working closely with the Leadership team to facilitate the smooth execution of projects, you’ll be utilising your high attention to detail, organisation and time management skills to manage and prioritise the high volume of project documentation and coordination tasks.
Role responsibilities
Coordination
o Compliance and Pre-Start Documentation: Assist with preparing essential pre-start and compliance documents, such as SWMS, ensuring they are complete and ready for submission before site commencement
o Project Setup & Coordination: Collaborate with builders to gather coordination details and communicate necessary information to on-site teams for smooth project initiation
o Scheduling & Project Coordination: Support procurement and project schedules to ensure materials and resources align with project milestones
o Stakeholder Communication: Liaise between the Operations Manager and project teams, both in-office and on-site, to provide regular updates and maintain alignment on project requirements
o Sample Management: Organise project samples, ensuring they are available and meet specifications
2. Fulfillment
o Inductions: Conduct site inductions to ensure team members and subcontractors understand project requirements and compliance standards.
o Handover Documentation: Manage final handover documents, ensuring they are accurate, complete, and ready for project closeout and occupancy.
o Materials Management: Track and manage project and inventory orders, including receiving, allocating, and system updates. Address stock discrepancies or delays, notifying stakeholders as needed.
3. General
o Administrative Support: Organise project files, track deadlines, and provide essential administrative support to the team.
o Process Improvement: Work closely with Senior Management to identify and implement improvements in documentation, project coordination, and material management workflows.
o Office Administration: Handle general office tasks such as answering phones, filing, and maintaining registers and trackers.
Skills and attributes
· Demonstrated project administration experience, minimum 2 years
· Knowledge of Green Star and WELL Building Standards
· Exceptional organisational skills
· Ability to prioritise
· Excellent communication & comprehension skills
· Meticulous attention to detail
· Proven ability with database management, advantageous
· Experience in the flooring industry is advantageous but not necessary
· Experience in the construction industry preferred
Position requirements and details
· Right to live and work in Australia
· Full time employment based in Sunshine West

· Salary: $70,000 p/a + superannuation negotiable for the right candidate / skill set
· Start: ASAP
· Hours: 8am – 4:30pm, overtime where required
· Days: Monday – Friday
