We’re a fast-growing Gold Coast health services business that delivers independent pharmacy reviews to support people recovering from workplace and motor vehicle injuries.

Our small team of pharmacists and admin staff is passionate about delivering high-quality, ethical services that make a real impact. With both company directors preparing for parental leave, we’re looking for someone confident, supportive, and organised to step into a key leadership role that keeps our people and workflows on track.

About the Role

This isn’t a corporate management role — it’s about people, performance, prioritisation, and helping our team stay focused and effective each day. You'll monitor where the team is thriving — and where things are falling behind — and help implement practical improvements to drive client referrals, efficiency, accountability, and client satisfaction.

You’ll be the final point of call for daily decisions and problem-solving, so the team can confidently hand over issues and focus on doing great work. Whether it's prioritising tasks, resolving roadblocks, or navigating tricky scheduling or communication issues — you're the one who keeps things on track.

This is a full-time, office-based position.

Key Responsibilities

Monitor task progress and timelines, and coach the team to stay on track

Provide support and accountability to our admin team

Support the team with operational decisions, reducing reliance on directors

Address performance concerns and support with improvement plans, with confidence and empathy

Co-ordinate leave cover and shifting workflows when necessary

Track business and team performance, with systematic reporting

Collaborate with directors and act as a go-to for internal operations

Support onboarding, training, and internal systems development

Spot inefficiencies and develop improved processes or systems

Can make fast decisions that benefit both the business and our clients

Know how to set expectations, give feedback, and help others succeed

Enjoy creating structure and flow in a workday, even when things get busy

Have strong emotional intelligence and clear communication skills

Can calmly handle occasional curveballs and keep the team moving forward

Have experience in admin/operations/healthcare support roles

A background in pharmacy, allied health, insurance, or service-based industries is a bonus - but not a must
