Australian Veteran Health Services (AVHS) is seeking a dedicated clinic administration professional to lead our administration/reception team and ensure seamless clinic operations, supporting both our clinicians and the veterans we serve.

ABOUT THE OPPORTUNITY:
Reporting to Chief Clinical Lead, the Clinic Administration Team Leader, will oversee and manage the administrative and reception functions of the clinic, ensuring efficiency and accuracy in all processes. Your leadership will directly support the Permanent Impairment and Wellbeing Teams, enhancing the veteran experience through exceptional service delivery.
ABOUT YOU:
You will have strong leadership abilities and organisational skills. Your strong interpersonal and communication skills are demonstrated by your ability to build trust and communicate effectively both verbally and in writing. Excellent stakeholder engagement skills are a must, as we have many moving parts in the delivery of support to the veteran community.
Key Responsibilities
Team Leadership: Lead and mentor the Clinic Administration Team, fostering a culture of collaboration and continuous improvement. Set clear objectives, define roles and responsibilities and ensure each team member aligns with the team’s vision.
Operational Excellence: Oversee appointment scheduling, document management, and correspondence processing to ensure accuracy and efficiency. Promote client and tele-communication excellence and best practices to provide our veterans with clarity, accuracy, and reliable support.
Compliance & Quality Assurance: Maintain high standards by ensuring adherence to AVHS policies and values, procedures, and relevant legislation. while maintaining accurate records.
Collaboration & Reporting: Work closely with the Chief Clinical Officer and Clinical Leads to align administrative functions with organisational goals. Contribute to organisational initiatives, process development and continuous improvement projects.
Selection Criteria
Essential:
Proven experience in an administrative leadership role within healthcare or a similar environment.
Experience in team management with proven ability to assess, mentor, and support team members to achieve performance goals.
Experience in handling sensitive and confidential information with discretion and professionalism.
Excellent communication and interpersonal skills, with a commitment to delivering outstanding customer service.
Proficiency in Best Practice, administrative systems, document management, and appointment booking tools.
Ability to troubleshoot operational issues and implement effective solutions.
Desirable:
Experience in the Australian veteran health or occupational medicine sectors.
Knowledge of DVA processes, correspondence, and documentation.
