Temp opportunity that could lead to a permanent role

Working within an organisation that runs alongside Federal Government.

$120K + super

Key responsibilities

Executive Support:

  • Manage Microsoft Outlook diaries and proactively manage all appointments and workflows, arranging/co-ordinating internal and external meetings for the relevant team members as required, and ensuring the attendees have appropriate materials to facilitate preparation in advance of meetings
  • Attend meetings as required, take minutes/notes, and liaise with stakeholders on follow-up actions
  • Support the executives and their teams with timely submission of papers for scheduled Committee and Board meetings, including ensuring papers are received, reviewed, and formatted, and submitted to the relevant Executive and Corporate Governance team by specified deadlines
  • Coordinate domestic (and international travel arrangements if required), including flights, accommodation, transfers, visas, and detailed itineraries
  • Manage, monitor, and reconcile expense claims, purchase claims and invoices
  • Manage and maintain confidential files, SharePoint sites and updates to any databases
  • Assist with finalising and generating reports and presentations, including document formatting

Team Support:

  • Support the team to achieve compliance with corporate processes including management reporting, reconciliation of purchase and travel expenditures
  • Collaborate with internal stakeholders to provide timely workplace support
  • Manage and maintain confidential files, SharePoint site and updates to any databases
  • Assist with finalising and generating reports and presentations, including document formatting in line with brand guidelines
  • Respond to and follow up on enquiries from key stakeholders, including Government and public sectors, financial services and business contacts
  • Maintain effective operation of meeting rooms including videoconferencing and teleconferencing links, greeting visitors, and arranging catering as required
  • Provide back-up to the other Executive Assistants and other administration support as required.

Successful Candidates

  • A minimum of 3 years' experience as an Executive Assistant or in a similar administrative role supporting executives and teams within finance/professional services
  • Advanced proficiency with MS Office, including Outlook, Word, Excel, PowerPoint, as well as other systems
  • Proven ability to build and maintain strong, trusting relationships with internal and external stakeholders, fostering collaboration and ensuring effective communication
