We are looking for a Client Coordinator to join our small team to focus on client service delivery and experience. You will be communicating with a variety of different people that can include School Principals and Contacts, Parents, Dental Staff and Administration staff.
The key responsibilities of the role include:
Coordinating client visits:
Maintaining clear and consistent communication with clients through various channels (phone, email, txt etc).
Serving as the main point of contact to maintain clear and consistent communication for clients, responding to inquiries, and addressing concerns
Answering and actioning incoming calls and emails from schools, parents and our business partners.
Coordinating and completing projects or specific tasks related to client needs.
Ensuring timely and efficient delivery of dental services at schools.
Tracking client project progress and providing updates to clients.
Documenting client and parent interactions to maintain accurate records.
Client Relationship Management:
Building and maintaining strong relationships with clients.
Understanding client needs and expectations and communicating these to the dental team and relevant staff members.
Coordinating client visits including prior preparation and rostering the dental team to deliver client success.
Problem solving, Actioning and implementing feedback and communicating this to relevant parties.
Proactively identifying and implementing opportunities to improve the client experience and engagement.
Ensuring client satisfaction, success and contract retention.
Administrative Support:
Managing client-related documents, reports, and correspondence.
Organising and scheduling client visits, staff meetings and events.
Communicating and coordinating clients needs to relevant staff members.
Step in when required to assist in administrative duties for client success.
Identifying and creating improvements to policies and procedures.
Work within administration for anything relevant to achieve client success.
Skills and Qualities:
Excellent Communication Skills both verbally and in writing.
Must have a minimum of 2 years experience in Customer management or coordination.
Strong Ability to build rapport and establish trust with clients.
Ability to identify and resolve client issues efficiently.
Ability to manage multiple tasks and prioritise effectively.
Ability to ensure accuracy and thoroughness in all tasks.
Focus on providing excellent customer service and ensuring client satisfaction.
Ability to use CRM software, Microsoft Office Suite, etc.
