Role Overview

As the Allocations and Client Engagement Officer, you will play a pivotal role in the intake, onboarding, and ongoing support of our clients, particularly NDIS participants. You will be the primary point of contact for clients, overseeing service coordination, maintaining strong relationships, and ensuring operational excellence through efficient processes and systems. This is a client-facing role requiring a high level of empathy, attention to detail, and a deep understanding of the NDIS framework.

Key Responsibilities

Client Intake & Allocations

Manage the intake process for new clients, including the development of service agreements, conducting risk assessments, and collecting required documentation.

Allocate services and match clients with appropriate practitioners in a timely and efficient manner.

Monitor PRODA for updates and maintain accurate records of participants' plans, funding, and services.

Liaise with clients, families, and carers to understand individual needs, preferences, and goals.

Client Engagement & Relationship Management

Act as the key point of contact for clients, providing ongoing support and ensuring a high level of service satisfaction.

Build and nurture long-term client relationships to enhance engagement, trust, and retention.

Proactively identify client needs and offer tailored solutions to support their goals.

Internal Collaboration & Service Delivery

Work closely with therapists, administrative teams, and other departments to ensure seamless coordination of services.

Facilitate the onboarding and orientation of new clients, including training on relevant services or systems.

System Optimisation & Process Improvement

Design and implement scalable systems to streamline service delivery and enhance operational efficiency.

Develop and maintain Standard Operating Procedures (SOPs) to support consistency and compliance.

Lead and support change management initiatives tied to systems or service delivery improvements.

Identify operational inefficiencies and propose innovative, client-focused solutions.

Monitoring, Feedback & Reporting

Regularly collect and analyse client feedback to identify service improvement opportunities.

Report on client engagement metrics, satisfaction levels, service delivery status, and opportunities for service expansion.

Stay up to date with NDIS policy changes and ensure internal processes are aligned.

About You

To thrive in this role, you will demonstrate:

Proven experience in client engagement, intake coordination, or customer service, preferably within allied health or NDIS environments.

Strong working knowledge of the NDIS framework, client funding structures, and relevant compliance requirements.

Excellent interpersonal and communication skills, with a proactive, solutions-oriented mindset.

Strong organisational and time management abilities in a fast-paced environment.

Experience building and optimising operational systems and processes.

High attention to detail, with strong problem-solving and analytical skills.

Proficiency in client management systems, Microsoft Office Suite, and online platforms such as PRODA.
