The Position
The Executive Officer is a member of the Executive Support Team within the Office of the Governor, with responsibility for providing administrative and support services for the internal events that form part of the Governor’s Programme and Community Access.
Primary Duties:
Provide administrative support to the Governor’s program of events and associated correspondence. Maintain Program and event related data and information registers and records. Co-ordinate the Government House public tours program including engaging and liaising with key stakeholders. Provide quality customer service in relation to tour queries and requests.
Maintain delegated policies and procedures in consultation with Official Secretary and Deputy Official Secretary.
Work collaboratively as part of a small Executive Support team to ensure the delivery of high-quality program activities and customer service – which may include providing support and covering leave.
Undertake other duties as required within the capacity, qualifications and experience normally expected from persons occupying positions at this level.
Level of Responsibility
Operates with limited supervision and a moderate degree of autonomy to ensure the provision of support to the Official Secretary and Deputy Official Secretary.
In consultation with the Official Secretary and Deputy Official Secretary, perform directed tasks in accordance with established priorities and effectively allocate resources in agreed timeframes.
Selection Criteria
Demonstrated ability to provide excellent client service, show initiative and personal judgement in responding to a diverse range of internal and external stakeholders whilst maintaining discretion and confidentiality.
Demonstrated knowledge and experience in events booking systems (TryBooking an advantage)
High level of written and verbal communication skills, and interpersonal skills to enable effective teamwork with colleagues and respectful interactions with stakeholders.
Well-developed time management skills coupled with an ability to manage simultaneous tasks in a complex challenging environment with competing demands and multiple deadlines.
Demonstrated proficiency in the use of word processing and formatting, database applications, spreadsheets and software systems including Content Manager.
Highly Desirable:
Certificate IV in Administration or Business,
Have - or have the ability to gain - a Working with Vulnerable People qualification.
Desirable Requirements:
Demonstrated experience working in a government environment.
